How to rotate, delete and reorder PDF pages

Fix sideways scans, remove blank pages, rearrange the order, and add page numbers or a watermark without rebuilding the document.

Most of the "editing" people do to a PDF has nothing to do with the words on the page. The real jobs are structural: a scan came out sideways, the scanner fed a blank sheet, two pages are in the wrong order, or a long document needs page numbers. All of these can be done by changing the page list rather than the content.

Why this is safe

Page-level changes copy the pages as they are. Nothing is re-rendered, so text stays sharp and selectable, and images keep their original quality. That is very different from converting a document to another format and back, which rebuilds the content and can disturb the layout.

Rotating pages

Scanned documents often have a few pages that came out sideways or upside down, especially when they were fed through a document feeder in a mixed batch. Rotating a page changes the way it is displayed, in steps of 90 degrees. Rotate only the pages that need it, and check the thumbnail afterwards: if text reads from top to bottom along the right edge, the page needs one more turn.

Deleting pages

Blank pages from duplex scanning, cover sheets you do not want to share, and pages containing information that should not go out with the file are all candidates for removal. A good habit is to mark pages for deletion first and review the thumbnails before applying anything, so a misclick can be undone. If you only need a small part of a long document, it is quicker to extract the pages you want than to delete the rest.

Reordering pages

When an assembled document has pages in the wrong sequence, dragging the thumbnails into place is easier than working out page numbers. If the problem is that whole documents are in the wrong order, merge them again in the correct order instead of moving individual pages.

Page numbers

Documents assembled from several sources rarely have continuous numbering. Adding numbers at the end, after the final order is settled, is the cleanest approach. Choose a position that does not collide with existing footers: bottom centre suits most documents, while bottom right is the usual choice for reports. If the first pages are a cover and contents, you can start the numbering at a different value.

Watermarks

A watermark such as DRAFT or CONFIDENTIAL is drawn onto each page and becomes part of the file you download. Keep it light so the text underneath stays readable. Text watermarks work best with the standard Latin alphabet.

What this cannot do

Changing the words inside a paragraph is a different kind of editing. A PDF stores where each character sits, not the paragraphs they belong to, so the dependable route is to convert the file to Word, edit it there, and export a fresh PDF. If you only need to correct a single typo in a file you created, it is usually faster to fix the original document and export it again.

A sensible order of operations

  1. Delete unwanted pages first, so you are not rotating or numbering pages that will not survive.
  2. Rotate the pages that need it.
  3. Put the remaining pages in order.
  4. Add numbers or a watermark last, so they reflect the final arrangement.
  5. Save as a new file and keep the original.
